A Day With Maica: The Intake Officer.

From the first enquiry to a plan your team can deliver.

A new referral arrives
A Referral comes in, whether by phone, email or through a form on your website, and it lands in Maica as its own record, ready to work through.

Referral

noun

The first record of someone who may become a Client, kept separate until they go ahead.

Getting to know them
Capture what you learn as you go. When the Referral goes ahead, it becomes a Client and everything you gathered carries across, so nothing is entered twice.
Bringing in their Plan
Where the Client has shared it, their Plan, Budgets and Goals come straight in from the NDIS or Services Australia, so the Agreement starts from what has actually been approved.

No access to their Plan? No problem. You can still build the Agreement from the Supports you have agreed with the Client, and its Budget is built from the Agreement itself.

Building the Agreement
Build the Service Agreement around the Supports they need. Each one is priced as you add it, and the Funding and Budgets are connected from the start.

Where a Plan needs it, mix Funding Types within the same Agreement.

Checking it adds up
Before anything is signed, you can see how the planned Supports sit against the Funding available, so the Agreement fits the Plan from day one.
Signing
Generate the Agreement as a branded document and send it for signing. The signed copy comes back to their record.
Ready for the team
With the Agreement in place, the Supports are ready to schedule, and the Client's day starts to take shape.
Where to next?
A clear start for every Client. See how Maica brings it together.
