Opening the Planner
Start the day in the Planner. The period you are responsible for opens in front of you, with Appointments and Shifts laid out together and the gaps as visible as the coverage.

However you work
However you work, the Planner follows. Schedule, Participant, Asset, Accommodation, Roster and Shift Views, with Order By, Group By and filters on top, so the same week can be read by Resource, by Participant or by Location.

Schedule View organises the week by Resource. Participant View organises it by Participant. Asset, Accommodation, Roster and Shift Views each read the same work a different way.

Creating the work
Create the work from the same screen. A new Appointment or Shift carries its Services, its Location, its Resources, its Checklists and its Instructions, whether it happens once or every week.

Services, Location, Resources, Checklists and Instructions are all set as you create, so the record is complete before it reaches anyone.

Work that repeats
Work that repeats is set up once. Choose the Frequency and how often it repeats, end on a date or after a set number, skip public holidays, and decide what each one inherits from the Master.

Recurring Schedules cover Appointments, Shifts, Unavailabilities and Rosters, so the same recurrence model sits under all of them.

The Master is the blueprint for a repeating series. Edit the Master and every future occurrence follows it. Edit a single occurrence and it steps out of the series on its own.

Filling the gaps
Anything still unfilled is gathered in one place. The Optimiser shows every Appointment and Shift in the period where the allocated Resources do not match what is required, and fills them manually or automatically.

Resource Optimiser

[Maica] A tool that gathers every unfilled Appointment and Shift in the period and allocates Resources to them, one at a time or by best fit.

Unfilled means the Resources or Participants allocated do not match the number the Ratio requires. Maica outlines those records in the Planner, so the gaps are visible before you open the Optimiser.

Offering it out
Work with no name against it yet can go out to your team. Offers reach the Resources you choose, sit as Pending until they are accepted, and can be withdrawn in one action if something changes.

Offers land in My Offers on a worker's phone, so the Shift you could not fill is one tap away from being accepted.

Shift Broadcasting

[Maica] Sending an Offer for a Shift or Appointment out to a group of Resources at once, with an expiry window, so the work can be picked up rather than assigned.

When someone is away
People are not always available. Unavailability is recorded against a Resource from the Planner, once or on a repeating schedule, and the work that was on them comes loose to be filled again.

A record against a Resource marking time they cannot work. It sits in the Planner beside the work, so it is visible while you roster rather than after.

When plans change
Plans change. Cancelling keeps the record rather than removing it, handles a single Appointment or the whole Recurring Schedule, and captures when the request actually came in so charges are worked out from that moment.

A cancelled Appointment keeps its record and its Delivery Activities rather than disappearing. Maica asks for a Cancellation Reason, and the Cancellation Requested Date is what the charge is worked out from.

Working in bulk
Some days you are not changing one thing, you are changing forty. The Schedule Manager puts your Appointments and Shifts in one table, so updates, cancellations and Resource assignment happen across all of them at once.

Quick Completes, cancellations and Resource assignment all apply across a selection rather than one record at a time.
